Project Administrator

We are currently seeking an enthusiastic Project Administrator to be based in our New Plymouth office. The focus of this role is to oversee and undertake a large range of administrative functions to assist our project delivery team. Along with general administrative functions, this role also involves document control and accounts receivable/payable tasks. This is a full time ongoing position.

Key responsibilities include:
•Manage and control all project deliverables through Integrated Management System (IMS)
•Ensure the project managers and project teams are supported in their Project Administration needs
•Complete weekly reports for the project managers assist with progress reports and take minutes of project meetings
•Setting up and maintaining project details and data within BST (financial system) including project numbering using appropriate OSD procedures
•Coordinate the document control function between OSD and clients including document transmittals
•Distribution of incoming project correspondence in a timely manner and maintain records of non-deliverable project data
•Coordinate project filing and creating and maintaining hard and soft project files
•Liaise with internal and external sub consultants
•Support material and equipment purchases and expediting
•Support Invoicing, account receivable and payable processes
•Support and coordinate project closeout
•Manage the internal client interface and build strong relationships
•Edit, format and perform quality checks on project documents
•Contribute towards the delivery of projects to the agreed outcomes, industry and quality standards
•Create, review and regularly update Project Administration related documents, and procedures
•Corporate administrate support as required from time to time

To be successful you will have:
•Advanced skills in Microsoft Outlook, Word, Excel and PowerPoint
•Strong understanding of computer software relevant to document control (preferably QDMS or Sharepoint)
•Strong understanding of technical terms and keywords that are relevant to the industry and/or project
•Highly developed communication, team, interpersonal and problem solving skills
•High level of attention to detail with highly developed time and task management skills
•Ability to perform well under pressure
•Ability to work autonomously on multiple simultaneous projects
•Ability to produce outcomes in a timely manner
•Ability to maintain confidentiality of project information
